Privacy notice

Everything below is given to us directly by you, apart from event photography and basic technical information. We do not buy contact lists, and we do not scrape.

Community application

First and last name, work email, job title, company, your primary market, the subject areas you are interested in, optionally your LinkedIn profile, and anything you write in the free-text field.

Event invitation request

First and last name, work email, company, job title, optionally your LinkedIn profile and mobile number, and your answer to what makes the conversation relevant to you. That answer is read by the host when composing the room.

Partner enquiry

First and last name, work email, company, your role, your company website, and optionally the audience, markets, objectives and context you tell us about.

At an event

Whether you attended, dietary or accessibility requirements you tell us about, and photographs or video in which you may appear.

Technical

Our hosting provider records standard server logs, including IP address and the pages requested, for security and reliability. We do not use these to build a profile of you.

There are no accounts and no passwords on this site, so we never hold a credential of yours. We do not ask for payment details, because attendance is complimentary.

• To decide whether an experience is a good fit for you, and to compose a room where the mix of people is worth everyone's evening.
• To send you invitations, confirmations, joining details and changes.
• To tell community members about experiences relevant to their work before those are announced publicly.
• To run the evening itself, including catering and venue arrangements.
• To answer you when you contact us.
• To understand which of our own pages and experiences work, in aggregate.

We do not use your information to train machine learning models, and we do not sell it.

Joining the LXSGRP community does not authorise us to pass your details to any technology partner. That only happens if you separately request and register for a specific partner-supported experience, and we name the partner before you agree.

This is the part of our practice we would most like you to check us on. It is why the two forms are separate, why the consent box sits on the event request rather than on the community application, and why the partner is named in plain language above that box rather than described in a defined term further down this page.

If you join the community and never register for a partner-supported event, no partner receives anything about you from us.

The named partner for an event you register for

Your name, role, company and work email, so that they know who is at the table and can follow up afterwards. Only that partner, only for that event, and only after you have agreed on the request form. Your free-text answer, your mobile number and anything you told us in a different context are not shared.

The venue

Your name, and any dietary or accessibility requirement you have told us about, so they can look after you on the night.

Our service providers

Companies that run parts of this operation for us under contract, listed in the next section. They may only use your information to provide that service to us.

We do not sell personal information, and we do not share it for cross-context behavioural advertising.

Hosts this website and serves it to your browser.

Sanity

Stores the content of the site itself, including event listings and articles.

HubSpot

Holds the contact records created by our three forms and tracks where each conversation has reached.

Resend

Sends the confirmation and invitation emails.

If we add or change a provider that handles personal information, we will update this list.

To build a room well, we research the organisations our guests work for. That means we may hold notes about a company's publicly stated priorities, initiatives and challenges, alongside your role in it.

This comes from public sources such as company websites, filings, press coverage and public professional profiles. It is professional context about a business, not personal information about your private life, and we do not attempt to gather anything of the latter kind. You can ask us what we hold, and ask us to correct it.

Community members

For as long as you want to hear from us, and for two years after your last response to us, after which we delete or ask whether you would like to stay.

Invitation requests that did not proceed

Twelve months, so that we can consider you for something more relevant rather than starting from nothing.

Attendance records

Three years, because knowing who has already met whom is what stops us assembling the same room twice.

Partner enquiries

Three years, or for the duration of the commercial relationship and six years afterwards where one begins.

Event photography

Held indefinitely as part of our archive, unless you ask us to remove an image of you, which we will do.

Email info@lxsgrp.com and we will act on any of the following. We will not ask you why, and asking will never affect whether you are invited to anything.

• Ask what we hold about you, and get a copy of it.
• Correct anything that is wrong or out of date.
• Ask us to delete your information.
• Ask us to stop emailing you, which you can also do from the footer of any email we send.
• Ask us to remove a photograph you appear in.
• Withdraw your agreement to share your details with a partner, although we cannot retrieve what has already been shared before you asked.

We aim to respond within thirty days. If we cannot do what you have asked, we will tell you why.

California residents have specific rights to know what is collected, to have it deleted, to have it corrected, and to opt out of its sale or sharing. We do not sell or share personal information as those terms are defined under California law, so there is nothing to opt out of, but the other rights are yours and the list above is how you exercise them.

We will not treat you differently for exercising any of them.

Our team and our service providers operate in more than one country, so your information may be processed in the United States and elsewhere. Wherever it is handled, the protections described in this notice apply, and our providers are bound by contract to the same standard.

This website sets no cookies, and loads nothing from a third party. There is no advertising pixel, no tag manager, no session recording, and no embedded content from another domain. Typefaces and images are served from our own servers.

That is unusual enough to be worth stating plainly, and it is also why you have not been asked to dismiss a consent banner. If we introduce analytics later, we will update this section before doing so, and we will ask for your agreement where the law requires it.

The site is served over HTTPS. Form submissions are transmitted encrypted, and access to the systems holding contact records is limited to the people who need it to do their job.

No system is perfectly secure, and we would rather say so than imply otherwise. If we become aware of a breach affecting your information, we will tell you and any regulator we are required to tell.

This site and these experiences are for senior professionals. They are not directed at anyone under eighteen and we do not knowingly collect information from children. If you believe we have, tell us and we will delete it.

If we change how we handle your information in a way that matters, we will update the date at the top of this page and, where the change is significant, tell community members by email rather than relying on you to re-read it.
